These are dropped into a groove workspace shared by their offshore centre and are transmitted automatically and reliably by the file sharing tool.&lt;br /&gt;&lt;br /&gt;Dubai then uses our RWS form to define different tasks and deadlines for delivery. At the offshore centre the teamleader allocates work to multiple detailers. Each of them then adds one or more Submission records indicating when the work will start and end and Dubai can see the workflow without making a single phone call to monitor progress.&lt;br /&gt;&lt;br /&gt;There are 2 levels of approval to be followed by the offshore team and the finished drawings are returned to Dubai. There a trigger alerts the GM who obtains client consent and grants the final approval that allows the drawings to be processed for production.&lt;br /&gt;&lt;br /&gt;The entire process is automated and requires no special IT admin or support. If any document is revised the system maintains revision numbers and also ensures that the original documents are never overwritten, thus maintaining a perfect record of the process for later billing.&lt;br /&gt;&lt;br /&gt;The published Tool has deliberately been left open so you can see the simple JavaScript code. Users can customise the project form to apply to different businesses and developers get a bunch of very useful functions they can learn from and apply to their own designs&lt;br /&gt;&lt;br /&gt;we are happy to share this with all so pass the word around please. Some structured processes do work but history shows that the best results come from unstructured interaction, often in corridors and around coffee machines.&lt;br /&gt;&lt;br /&gt;with traditional collab technologies that were too dependent on Administrators / Resources etc. there is a natural inertia to the creation of new groups, topics, linkages that could lead to new ideas and knowledge discovery. very difficult to simulate the spontaneous discussions around the coffee machine.&lt;br /&gt;&lt;br /&gt;With Groove a user who has a problem or idea can create a workspace and invite some members into it, who he feels have appropriate knowledge. Those members can then invite other members (if give rights) who they think have useful inputs. The original person may not even know the new members in advance, but someone did and introduced him to them. So discovery happens naturally.&lt;br /&gt;&lt;br /&gt;Once together groove provides members with many ways of interacting in real time with discussions and calendars and live meetings and even structured data capture with Groove Forms. decisions are taken rapidly ideas tossed up and out by quick peer review. Members bring past knowledge to the table and an new KB begins to evolve around the task, good for future use.&lt;br /&gt;At any time new members can be invited to provide specialised inputs and then they exit after their part is done.&lt;br /&gt;&lt;br /&gt;A groove workspace is a fluid and lifelike environment which creates a warm nosed feeling among members, allowing them to relax boundaries and focus on the task. The best part is that members can take ideas home and work when it suits them - when they connect again all members will be synced.&lt;br /&gt;&lt;br /&gt;Equally important is security and privacy - groove ensures that no one outside a workspace (non member) can ever see data from there - there is NO leakage. So people can speak freely with no fear that they will be overheard and compromised.&lt;br /&gt;&lt;br /&gt;As a result of these factors someone like GSK who bought 10,000 licenses and used them for their R&amp;amp;D teams, found dramatic improvements. Project that involved 20-30 people across the world and normally took 7 months, were now completed in 4. How to get real time data across multiple locations integrated seamlessly into the backend, and do this with 100% reliability and 100% security. And i could say the same of the groove team and partners i have known for a long time now.&lt;br /&gt;&lt;br /&gt;So much else happening is very similar, from Sharepoint, to Mesh to Vine and Azure - a way of computing where sharing of information is natural. Groove was the precussor, way back in 2001, and the reason why Bill Gates brought Ray Ozzie to take over from him.&lt;br /&gt;&lt;br /&gt;It's Ray's philosophy that excites us, as expressed in the product. He was determined to produce something that was disruptive, that changed the way people did things, like the Fax or the Cell Phone. Those of us who have worked with it for 8 years believe he achieved that.&lt;br /&gt;&lt;br /&gt;At a cost of &lt; 125 $ you get a product that installs and is up and running in minutes, takes less than a day to get the hang off, has no real settings etc that it expects you to twiddle, works with no IT admin or infrastructure support .... i could go on. Groove changes traditional IT equations.&lt;br /&gt;&lt;br /&gt;Truly a remarkable platform and concept, It's rebranding today as Sharepoint workspaces is sad in some ways yet apt in others. (as of today Groove is called Sharepoint Workspaces)&lt;br /&gt;&lt;br /&gt;At a recent meeting of the IAMCP Western Chapter (International Association of Microsoft Certified Partners) the question came up of how CEOs / CIOs are dealing with the downturn.&lt;br /&gt;&lt;br /&gt;While cutting down on Purchases and expansion was the most common solution the results are minimal and short term . The expenditure is at best deferred.&lt;br /&gt;&lt;/span&gt;&lt;br /&gt;&lt;span style="font-family:verdana;"&gt;My suggestion was to change the very way we work, by using a technology like Groove, to create Virtual Offices, also largely paperless.&lt;br /&gt;&lt;/span&gt;&lt;br /&gt;&lt;span style="font-family:verdana;"&gt;E-work maximizes the use of the most expensive, recurring expense of the company, people, cuts down costs and time loss by as much as 40% in many cases, allows faster decision making.and actually promotes initiative and innovation.&lt;br /&gt;&lt;br /&gt;All at very little investment as Groove costs little to own, install, and manage, with no special servers, communications etc. and very little administration. This creates a persistent realtime conduit between us and the people using our system - customer requests / comments are visible to all as are our responses.&lt;br /&gt;&lt;br /&gt;Indian companies talk of CRM but use such tools to focus on marketing to new clients. What most forget is how important it is to create support channels for existing clients. But their own communities are aging and the health of their citizens has become a serious concern for the local authorities. So some Groove colleagues and i are designing the first of such "social networks" to knit together communities.&lt;br /&gt;&lt;br /&gt;Meanwhile some years ago i had embedded a Camera App inside groove to provide a live surveillance and interaction capability between users / groups, perfect for monitoring of the elderly. When Ray Ozzie released Groove he had a small team of just 250 people - he knew he could not support thousands of small users - so he refused to market Groove to the industry and focussed on fortune 1000 clients who had their own inhouse IT resources. No ads were ever released, he relied on the trickle down effect as well as evangelism by those who loved Groove.&lt;/p&gt;&lt;p&gt;2. By 2004-5 when MS was taking over Groove, the most important target was getting Groove Office 12 compliant - they gave up a lot including some tools that just couldnt make the deadline, but they gained a multi lingual platform and the branding / bundling benefits of MS Office. Once again Ray / MS decided not to promote groove seperately and widely as there was little awareness within MS itself of it's capabilities and no enhanced support structure in place. Now every week new teams at MS are adopting Groove as their preferred way of working and the word is spreading.&lt;/p&gt;&lt;p&gt;3. But the most significant reason is that people never talk of a product that is proving to be strategically useful to them. Real story - at a recent talk i gave to the top 50 CIOs in India, i asked about Groove and no hands went up. I knew the the MD of xzxzxzx Pharmaceutical company in the first row and pointed out that his company did use Groove, internationally. Groove is a user level collab tool that does 80% of sttuff needed out of the box - TRUE and hence of immense value in the workplace at all levels.&lt;br /&gt;&lt;br /&gt;2. Groove is a platform on which to build next generation Tools and true distributed ERP solutions, real time Point of Sales .... TRUE we have done these for real and they are spectacular in the ROI to the company in instant business intelligence as well as one point data entry and zero overhead costs.&lt;br /&gt;&lt;br /&gt;3. But Groove is also the best last-mile extender to current and enev  traditional legacy systems of any kind. Take a popular accounting system, or Navision for example as that is doing well in India. You cannot deploy an ERP to a small 50 person factory that actually makes your garments. But you can deploy a groove form, with no replication servers, no admin, no special IT skills etc. The end user only has to fill in daily status Forms and this data is reflected isntantly at HO. At that end a simple VB.NET connector to groove via Web Services, extracts data in real time and updates the backend database. All seamless. the OS for the future ?&lt;br /&gt;Must confess i am not the one to look too closely at operating systems,&lt;br /&gt;my domain is more solutions than the technology itself&lt;br /&gt;but operating systems are core to how we use computers&lt;br /&gt;so i eagerly awaited the new windows 7.&lt;br /&gt;&lt;br /&gt;I saw it first at the MVP Open day in Goa in November&lt;br /&gt;( yup long time no write blog :-) )&lt;br /&gt;First impressions were coloured by the limited presentation itself&lt;br /&gt;things were still secret&lt;br /&gt;so what we saw was a lot of UI tweaks but little substance.&lt;br /&gt;where was the future in this ?&lt;br /&gt;&lt;br /&gt;then towards the end the presenter said something that made it all fall in place&lt;br /&gt;he stated that windows 7 was not just an enhancement on the XP / Vista platform&lt;br /&gt;that it had been designed by Ray Ozzie from scratch.&lt;br /&gt;Halleujah - hence less time to write here -&lt;br /&gt;most has been related to trying to explain the benefits of groove, simply, to first time users. Thought i would paste some of that stuff here for others who might be asking the same questions&lt;/p&gt;&lt;p&gt;&lt;strong&gt;What is Groove.&lt;br /&gt;&lt;/strong&gt;Written by Ray Ozzie, the author of Lotus Notes, now Chief Architect at Microsoft, you could call it version 2 of Lotus Notes and it's opposite in many ways. It is a more powerful, collaboration tool, but also easy to install, needs no servers or IT administration, and is cost effective for even the smallest user in a small town with nothing more than a phone / internet line. &lt;/p&gt;&lt;p&gt;&lt;br /&gt;1. Groove creates dynamic workspaces to hold all digital information related to any Task, this could be a software project, a board discussion, or even a virtual classroom.&lt;br /&gt;2. each workspace is populated with only those members who have a need to know that information. Nobody else has access to it and even the roles and permissions allowed to each member can be set by the workspace manager.&lt;br /&gt;3. All members in a workspace have all information automatically synchronised. No cc's and no acts of ommission or commission permit information to leak out or be forgotten. Groove is both identity and device secured, so leaking of a password means little, and data cannot just be copied and restored on another Groove account.&lt;br /&gt;4. Groove guarantees not just security but also reliability of the information passing through the workspace. Once posted, you can be assured that ALL members WILL get that data - even under battlefield conditions, certified by the US DoD, Interpol and other security conscious organisations from GSK to KPMG to the UN.&lt;br /&gt;5. Finally it is a viral product, that just grows in usage and benefits organically. It the best catalyst to innovation within any company, because it brings people together into a real time virtual world, just like being in the same room with the others. It cuts out fritter, speeds up decision making and improves team efficiency by at least 40%.&lt;br /&gt;Web 2 is a long way and will raise more security concerns that i can go into here. Groove has been there and tested for 7 years now, and expects to sell 10 million copies this year alone. It is both a testament to it's value as well as an opportunity to be exploited.&lt;br /&gt;&lt;/p&gt;&lt;p&gt;&lt;br /&gt;&lt;strong&gt;Why is it worth looking at Groove.&lt;/strong&gt;&lt;br /&gt;1. It is the catalyst to &lt;strong&gt;innovation&lt;/strong&gt; at all levels. It creates virtual corridors and virtual coffee machnes (workspaces) where distrubuted people in the eorganisation meet in real time, or even when offline (more on this later).&lt;br /&gt;a. perfect way to set up newsgroups, bug forums, development forums and to discover talent in the company, you never knew existed.&lt;br /&gt;b. promotes fast and safe sharing of information between individuals in the organisation, and even if needed, outside, without compromising access / security / firewalls within your own organisation.&lt;br /&gt;c. It is viral, as users grow their own ad-hoc workspaces and can choose who to extend their collaboration within inside the organisation, under the watchful eye of an administrator if needed.. &lt;/p&gt;&lt;p&gt;&lt;br /&gt;2. It is the most &lt;strong&gt;efficient&lt;/strong&gt; way to Manage diverse digital information in one unified interface, from Chat, to VoIP to Shared Calendars, Whiteboards, Threaded Discussions, Images and Document storage, you name it. Create repositories of training material, or knowledge bases for product development, and capture all the interaction that went into getting something done.&lt;br /&gt;a. By keeping all related data in a seperate sowrkspace, Groove ensures that retrieval is the easiest thing in the world, even months after a project was closed.&lt;br /&gt;b. Groove Links provide a wikipedia like experience to navigate instantly from one related document to another, even across workspaces.&lt;br /&gt;c. Groove works in real time, and all interaction from Chats to decisions made are recorded as they happen. This provide web 2.0 type interaction maps if desired to see, not just who got a job done, but when and how.&lt;br /&gt;&lt;br /&gt;3. The &lt;strong&gt;Security&lt;/strong&gt; of information in Groove is absolute. If you receive a 1 MB file called Ashok.Doc, from me in a Groove workspace, nowhere on the disk will a hacker be able to find Ashok.Doc or even a 1 MB file.&lt;br /&gt;a. Groove employs multiple layers of security to ensure that information can never be dechipered by any person other than the one it was destined for.&lt;br /&gt;b. Files themselves are fragmented into deltas of change, and Groove tags each delta with each users PPK pair, then adds further layers of encryption, making it impossible to decipher data even if intercepted.&lt;br /&gt;c. All Groove data is serialised and the transport engine ensures that all end points have the same data, handling concurrent changes as well as roll back, automatically, to the point where Groove transport still works, when all other replication or web based databases would fail.&lt;br /&gt;&lt;br /&gt;4. &lt;strong&gt;Efficiency&lt;/strong&gt; - Groove works off the LAN wherever possible so e-mails between company members becomes a thing of the past and so does bandwidth wastage. The speed of sharing, opening even large documents is what you would expect from your desktop, since all data is cached securely to your local storage. This is why you can also work with Groove data while offline.&lt;br /&gt;a. Groove creates local images of all data in a workspace, so it goes with you where ever you are and files open instantly, no download. This also provides an automatic backup capability as a workspaces exists for multiple users and if one machine goes down the others simply restore all data.&lt;br /&gt;b. Groove uses the LAN / VPN wherever possible, minimising usage of internet bandwidth, except for those on the road.&lt;br /&gt;c. Groove provides awareness of each member's staus whether on-line or off- line, or idle for a period plus what each active member is currently working on, So work gets done quickly and efficiently, because trhere is total transparency across your workgroup on who is where, doing what.&lt;br /&gt;d. Much of your data data is in flux and large documents may have minor changes made frequently, Groove does not send the whole document between members each time just the changed fragments, both fast and economical on IT resources &lt;/p&gt;&lt;p&gt;&lt;br /&gt;5. The &lt;strong&gt;Versatility&lt;/strong&gt; of the architecture allows Groove type collaboration to be applied to any concievable area, in-house, or for customer support CRM / Heldesks, supply chain management, even capturing live data for of all your own business processes,&lt;br /&gt;a. Project planning and control and automatic integration of distributed data with your centralised back end.&lt;br /&gt;b. Distance education for online mentoring in a private and secure environment. reusable licenses allow you to deploy licenses to groups then pull them back when the task or course is over.&lt;br /&gt;c. Security and Emergency response situations, where the ability to throw up a Groove network is something that requires no technical skills, no web sites, no servers to be installed or accessed. Groove works P2P under the worst of conditions - certified by the US DoD.&lt;br /&gt;d. Virtual medicine and social networking of the sick and elderly and complete towns, is just one of the many uses possible in the area of human e-work that is can now be easily accomplished with Groove..&lt;br /&gt;&lt;br /&gt;this list would be endless. In a de-centralised world nothing really happens in one building and room, Companies and People are scattered in different time zones, not always connected, yet need to work together efficiently. Wanted to leave maximum time for others so even skipped mentioning my name at the Summit Q&amp;amp;A :-)&lt;br /&gt;&lt;br /&gt;I have worked with Groove and Ray from the day it was released and probably written more tools for Groove than most out there, including GXcel, which allows multiple users to co-edit an Excel Workbook, something not possible with any other product -using Groove as the platform to carry out cell level sync, online or offline.&lt;br /&gt;&lt;br /&gt;To me Groove is much more than the greatest collaboration tool straight out of the box, it is also a platform for building future vertical applications that beat the pants off anything SAP, PWC and others have out there, like Point of Sales, ERP and even Financial Accounting. Even MS's own business solutions would be take on a new dimension, if powered by Groove.&lt;br /&gt;&lt;br /&gt;Here is just one real life example :- our client (MD who never used a PC except for e-mail) now sits down to his Groove account at 11.30 each morning, to monitor the opening of his shops across India, something that Groove awareness provides automatically. At 11.45 a customer walks in and buys 20,000 worth of merchandise. The sale entry appears almost instantly at HO in Bombay, synced by Groove, which sits under the PoS application. He sees the large sale immediately, something he might not have known for weeks otherwise, and has the customer on the phone before he walks out of the store.&lt;br /&gt;&lt;br /&gt;No expensive IT infrastructure is involved, no time consuming manual integration of data. It just happens, with a reliability that the US Army deems worthy of use on the battlefield. There are many other scenarios that i will not mention here so as to keep this note short, but can send to your people if required.&lt;br /&gt;&lt;br /&gt;Groove is also the fastest way to get a customer up and running and hooked, with file sharing, Calendars, discussions and even simple workflow that can be easily built using Forms, as i have done. Once they have tasted the joy of collaboration they are open to the next level we offer, like Sharepoint.&lt;br /&gt;&lt;br /&gt;I am not knocking Sharepoint, but imagine sharing 10-40 MB CAD files using even fast internet, the time it takes to download, edit, and upload, and the huge bandwidth it takes if this happens 10 times a day for multiple users in an offshore development center. So there are just some things for which Internet based solutions are not optimum, but where Groove is. As a repository for finished designs, or corporate workflow, Sharepoint certainly is wonderful, but for so much else there is nothing to beat Groove.&lt;br /&gt;&lt;br /&gt;So to see Groove as just an offline client for Sharepoint would be a tragedy. unfortunately under the OSD arch if you have ever injected a tool of an earlier version and them upped it but forgot in one file, groove uses the older version and generates no errror.&lt;br /&gt;&lt;br /&gt;on a brand new install which never had a copy - FedEx has broken up with BlueDart (India's largest Courier Co) and DHL has stepped in to fill the space. BlueDart already use my old software across 110 offices as the primary MIS system. See great potential for groove here and am making a presentation this week. would be good to know if DHL have been directly approached by Groove? Some things have to be fought.&lt;br /&gt;&lt;br /&gt;What a pity - the UN has again shown itself to be a gutless wonder. So (Mr) Blix (shouldn't Dr. be reserved for free thinkers) and the weapons inspectors want to go back, but don't care that the presidential palaces are out of bounds - joke ? Everything points to the probability that much of the iraqi military complex is underground and access is from the palaces and prisons where the inspectors do not go. and saddam buys more time!&lt;br /&gt;&lt;br /&gt;it is sad to see the faces of iraqi children on TV, but the mind cannot help but ask, what are the people being exposed to in iraq that is causing such a hideous outbreak of cancer in this generation of children ? &lt;br /&gt;&lt;br /&gt;after the horror faced by coalition troops from the gulf war syndrome, one can only applaud the humans willing to back in there to finish the job - i hold no brief for Bush or war mongering (I'd rather he storm the Nasdaq and raise it to new heights) but the primary job of a president, to protect his country,  is a tough one as Sep 11th showed. This consolidation of a bond between Groove and it's believers and the deep trust that has been established has galvanised the community - it was palpable. &lt;br /&gt;&lt;br /&gt;So much so that the follow on PGPA conference never happened, i am not joking. Many of you may know Dr Rick Lillie, who has been effectively using groove in education. He is just back from holiday, throughout which, he continued to be mentor to his students, using PoPG/Groove, from random cyber cafes, effortlessly. He has written to me to say that for the first time, he sees how groove can be fully used in education, and he has sent a message to groove to that effect. Finally all that heartache is paying off. Imagine a world of students who grow up on a product - 5 years down the road they are the CEO's that will buy it. i am thrilled. &lt;br /&gt;&lt;br /&gt;also that my tool, statusboard or matrix as we now call it, is running beautifully and helping Dr Lillie manage the progress of his classes more effectively than ever before. there is something about this architecture that makes the simplest toys into something sublime. Matrix - multiple 2D workdsheets in a single tool, assignable to one or more members. privacy in a public space, what everyone has been wanting. Import data from any external database, even add to it and edit it in groove, graph it if you like, but above all, share real data from MDB's, SQL. even .DBF files in groove, without the high overhead of Enterprise Integration Server.
